Is a quality manual required by ISO 9001:2026?

ISO 9001 has not required a document called a quality manual since the 2015 edition, and ISO 9001:2026 does not require one either. You are still required to document the scope of the QMS, the quality policy and objectives, and the information needed to operate your processes. Most companies keep a manual because it puts all of that in one place, and because customers, tender portals and supplier questionnaires keep asking for it.

What should the manual cover?

Context and interested parties How you review internal and external issues, including whether climate change is relevant, and which interested-party requirements the QMS addresses.
Leadership Policy, roles, and how top management promotes quality culture and ethical behavior.
Planning How you handle risks, how you handle opportunities, objectives, and planning of changes.
Support and operation Resources, competence, awareness, documented information, and a description of each core process with links to procedures.
Performance and improvement Monitoring, internal audit, management review, nonconformity and corrective action.

How long should a quality manual be?

Short enough that people read it. Fifteen to thirty pages is typical for a company of up to a few hundred people. The manual should describe how the system works and point to procedures. It should not repeat them.

How do we tailor the template?

  1. Replace the bracketed text with your company details, scope and process names.
  2. Replace the sample process map with your own.
  3. Delete sections for activities you do not perform, for example design and development, and record the justification in the scope section.
  4. Link each section to your own procedures and forms.
  5. Delete the guidance notes, approve and issue the document under your document control procedure.
