ISO 9001:2026 Master Document List Template

Short answer: a master document list is one register of every controlled document in your quality management system, with its number, title, owner, current revision, status and next review date. ISO 9001:2026 does not demand a document with that name, but clause 7.5 requires you to control documented information, and a master list is the simplest way to show an auditor that you do. Below are the columns to use, the documents most ISO 9001:2026 systems list, and a free Excel register to start from.

Is a master document list required by ISO 9001:2026?

No clause says "master document list". What the standard does require is that documented information is identified, reviewed and approved, available where it is needed, protected, and kept under version control, and that obsolete versions are not used by mistake. Auditors usually ask how you know which revision is current. A single register answers that in seconds, which is why almost every certified company keeps one.

What columns should a master document list have?

Column What to record
Document number A unique code, for example QP-05 for a procedure or QF-05-01 for a form that belongs to it.
Title The name people search for.
Type Manual, procedure, work instruction, form, register, policy or external document.
Clause The ISO 9001:2026 clause it supports. Useful for audits and for the transition.
Owner The role responsible for keeping it current, not a named person.
Revision and date Current revision number and its effective date.
Status Draft, in review, approved, obsolete.
Location Where the controlled copy lives (folder path, SharePoint link or system).
Next review The date it is due for periodic review.
Retention (records) For records, how long you keep them and where.

Which documents does an ISO 9001:2026 system usually list?

The standard explicitly asks for a few items and leaves the rest to you. A lean system for a company of 5 to 250 people usually lists:

  • Explicitly required: the scope of the QMS, the quality policy, quality objectives, and the documented information needed to support your processes and give confidence they run as planned.
  • Required as evidence: fitness of monitoring and measuring resources, competence, review of customer requirements, design and development records (if you design), evaluation of external providers, traceability where required, release of products and services, nonconforming outputs, monitoring and measurement results, the audit programme and audit results, management review results, and nonconformities with corrective actions.
  • Common by choice: a quality manual, procedures for the main processes, a risks and opportunities register, a change log (the 2026 edition expands planning of changes in 6.3), a context and interested-parties analysis (now including whether climate change is relevant), and awareness records covering quality culture and ethical behavior.

How do we update the list for the 2026 transition?

  1. Add a column for the 2026 clause and map each document to it.
  2. Flag the documents affected by the changes: context, leadership, risks and opportunities, planning of changes, awareness, management review inputs and improvement clause references. The Change Matrix lists every affected area.
  3. Raise a revision for each flagged document and track it to approval in the list.
  4. Mark superseded 2015 documents obsolete and remove them from points of use.
  5. Use the updated list as evidence in your internal audit and management review before the transition audit.

Free template or pre-filled kit?

The free master document list is a blank Excel register with the core columns. It was first built for ISO 13485 document control, and the same columns work for ISO 9001. If you want the list already filled in, the Complete QMS Documentation Kit (US$349) includes a master document list pre-filled with all 99 files: the 33-page quality manual, 20 procedures (QP-01 to QP-20) and 43 forms and registers numbered to their parent procedure. For a company moving from the 2015 edition, the Transition Starter Bundle (US$99) shows which documents need to change.

Important limits

The standard does not mandate a master list, procedures or forms. Templates give you structure. They cannot guarantee certification, and the audit decision is your certification body's.

Frequently asked questions

Does ISO 9001:2026 require a master document list?

No clause requires a document with that name. Clause 7.5 requires control of documented information, including identification, approval, availability and version control, and a master list is the most common way to show it.

What should a master document list include?

Document number, title, type, related clause, owner, current revision and date, status, location of the controlled copy and next review date. For records, add the retention period.

Is the master document list template free?

Yes. The blank Excel register is free with a $0 checkout. The Complete QMS Documentation Kit includes a version pre-filled with all 99 ISO 9001:2026 documents.

Should the master document list include records?

Many companies keep records in a separate register with retention periods. Either works if you can show what is current and how long records are kept.
