Quick start: open it in 5 minutes
- Download and unzip. Save the ZIP from your order email, then unzip it to a folder you will remember, for example Documents.
- Keep the Templates folder next to the app. The app opens the templates from there.
- Open the app. Double-click the QMS Workspace file, or right-click it and choose Open with Chrome or Edge.
- Create your project. Enter your organization, sites and scope, and add your logo.
- Save your project file. Choose a safe folder, and switch on automatic daily backups.

Your first 30 days
A realistic plan for a small team where one person looks after quality part-time. Adjust the pace to suit you.
| When | What to do | Tutorial |
|---|---|---|
| Week 1 | Set up the project. Run the gap assessment and rate all 178 lines honestly. Print the report and the action plan. | Tutorials 2 and 4 |
| Week 2 | Load your documents into the register, with owners and review dates. If you are moving from ISO 9001:2015, open the transition tracker and assign each change to someone. | Tutorials 5 and 6 |
| Week 3 | Record your quality objectives, risks and opportunities. Add equipment that needs calibration and your key suppliers. | Tutorials 7 and 8 |
| Week 4 | Plan your internal audit and give each action owner their list. Book your management review. | Tutorials 10, 11 and 12 |
Following a plan like this supports your preparation. Your certification body decides your audit result.
What is in your download
- QMS Workspace Full (the app, one file). This is all you need to run the system.
- Templates folder. 99 Word, Excel and PowerPoint files: Start Here, Quality Manual, Procedures, Forms and Registers, and the Transition Toolkit.
- Start Here guide, license, change log and notices.
The Lite edition contains the Lite app, the Start Here guide and the license.
System requirements
A current version of Chrome, Edge, Firefox or Safari on Windows or macOS. Chrome or Edge is recommended because they save straight back to your project file. Firefox and Safari save by downloading a new copy each time. Microsoft Office or a compatible program is needed to edit the templates. No internet connection is needed to use the app.
Keep your records safe
- Keep your project file in a folder that your company backs up, or on a drive you copy regularly.
- Switch on automatic daily backups and choose a different drive or cloud-synced folder.
- Use Save a copy of my work before big changes, such as an import.
- Never send your project file to anyone unless you mean to. It holds your records.
- Check the change history now and then. It records what changed and when.
Who does what
Quality manager
Owns the project file, keeps registers up to date, plans audits and prepares management review.
Action owners
Do not need the app. They receive a printout, spreadsheet or calendar file with their open actions and due dates.
Top management
Approves objectives, attends management review and records decisions. The review opens with the inputs filled in.
Is it right for us?
QMS Workspace suits you if most of these are true:
- You are a small or mid-sized organization, and one person looks after quality.
- You want to pay once rather than every month.
- You are moving to ISO 9001:2026, or building a first QMS.
- You prefer your records on your own computer rather than a vendor's cloud.
It is probably not the right fit if you need several people editing at the same time, single sign-on, or a hosted system for a large company. See the editions and prices, or start with Lite for $99 and move up to Full later without retyping anything.
Making the case to your manager
A short version you can paste into an email: QMS Workspace is a one-time purchase of $499 with no subscription or per-user fees. It runs offline from one file, covers the gap assessment, registers, internal audits and management review for ISO 9001:2026, and includes 6 months of email support and 99 templates. Our records stay on our own computer. There is a 5-day fit guarantee.
Get help
Email support is included for 6 months from your purchase, as often as you need it, with replies within 72 hours. Support covers installing, opening and using the app, importing your data and faults in the software. It does not include advice on your quality system or certification.
- Watch the tutorial for the screen you are on: all 16 tutorials.
- Check the quick fixes for the most common questions.
- In the app, choose Report a problem (under Tools), copy the report, then send it with your order number and edition through the contact form.
