Twelve weeks to ISO 9001:2026, week six: documents, and the master list that controls them.

ISO Cloud Consulting editorial team

Week six decides what to document and sets up the control that keeps documents current. Document what would go wrong if a competent new person did it from memory, build the master document list before writing anything, write short procedures with the process owners, set up review, approval and change control, and write any quality manual last.

What is this week about?

This is week six of twelve weeks to ISO 9001:2026. We have the process map, the context, the risks and the objectives. This week we decide what to document and set up the control that keeps documents current.

How much should you document?

Start with how much to document. ISO 9001 gives you a lot of freedom. It requires certain documented information, such as the scope, the quality policy, the objectives and a range of records. Beyond that, you decide what you need to write down to run your processes consistently. My rule is simple. Document what would go wrong if a competent new person did it from memory. A small manufacturer usually needs fifteen to twenty procedures, a set of forms and registers, and work instructions only where the task is complex, rare or critical.

Why build the master document list first?

Then build the master document list before you write anything else. Every controlled document gets a number, a title, an owner, a current revision, an approval date and a location. This is the backbone of document control, and it is far easier to start with it than to retrofit it to fifty documents later. Decide also where documents will live. A shared drive with a controlled folder structure, Microsoft 365, Google Workspace, or quality software. Pick one place and make it the only place.

How do you write procedures with process owners?

Now write procedures, and write them with the process owners. If you are using templates, start by deleting everything that does not apply, then change the words to match how your company talks. If a template says the quality manager approves suppliers, and in your company the purchasing manager does it, change the template, not the practice. Keep procedures short. A procedure that runs to more than four or five pages is usually trying to be a training manual.

What does approval and control involve?

Next, set up approval and control. Every document is reviewed and approved before use by someone competent. Changes are recorded, with the reason. Obsolete versions are removed from use, or clearly marked if kept. And people know where to find the current version, which is the question auditors ask most often on the shop floor.

Do you need a quality manual?

Then the quality manual. The 2026 edition, like the 2015 edition, does not require one. Many small companies keep a short manual anyway, because it is a useful single overview for customers, auditors and new employees. If you keep one, keep it short and write it last, after the processes and procedures exist. A manual written first describes a system that does not exist yet.

What should you have by the end of week six?

By the end of week six you should have a master document list, an agreed document location, and draft procedures for your core processes in the hands of their owners for review.

The ISO 9001:2026 Complete QMS Documentation Kit includes a quality manual, twenty procedures and forty-three forms and registers, written for small and mid-sized companies. If you only want the list, the Free Master Document List Template is on the site too, and the ISO 9001:2026 templates collection has every individual tool. Next week: operational controls.

Frequently asked questions

How much does ISO 9001:2026 require you to document?

Certain documented information such as the scope, policy, objectives and records. Beyond that, document what would go wrong if a competent new person did it from memory.

What goes on the master document list?

Every controlled document with a number, title, owner, current revision, approval date and location, in one agreed place.

How long should a procedure be?

Short. A procedure that runs past four or five pages is usually trying to be a training manual. Change the template to match your practice, not the other way round.

Is a quality manual required?

No, neither the 2015 nor the 2026 edition requires one. Many small companies keep a short one as an overview, written last, after the processes and procedures exist.
